This leading health-tech company develops health-care tools and data-driven tools that help clinicians deliver personalized, often life‑saving care. Their work demands an always‑on workplace: late-night lab runs, clinical testing, and cross‑timezone business collaboration. Keeping teams supported, fed, and focused is essential to mission delivery.

At the same time, the company has scaled rapidly, expanding into new markets and growing its footprint across North America. Supporting a 24/7 workplace is one challenge. Scaling a high-quality experience across multiple locations is another. To do both successfully, the company needed a food and beverage partner that operated nationally, tailored locally, and reduced operational burden for their small workplace team.

The company’s Lead Workplace Coordinator highlights how Crafty’s national reach and hands‑on pantry service provided the visibility and control they needed.

“I’ve had employees come up to me and say, 'Can you let the Crafty team know that what they do every day makes coming to work better for us?'," he says.

Designing a Corporate Pantry Program for a 24/7 Workplace

Supporting an always‑on workforce means the office pantry program must match real work rhythms, not a normal 9‑to‑5 cadence. Teams rely on the pantry, healthy office snacks, and beverage stations at all hours.

“With us being a 24/7 operation, giving people an incentive to want to come into the office is huge. Having a standout food and beverage program helps boost morale and focus. After all, this isn’t a monotonous nine-to-five where water dispensers and K-cups move the dial.”

While Crafty’s staffed concierge service powers the workplace during the day, the team has also built a system to support employees well beyond those hours. Using real-time data from the Crafty Platform, the team can track what’s actually being consumed across each kitchen, down to the product level, and optimize restocking accordingly. That means overnight teams don’t inherit leftovers; they walk into thoughtfully stocked kitchens and consistent beverage and snack options.

“Every day Crafty makes sure that the kitchens are fully stocked before the evening, so when the overnight teams come in, they’re walking into the same experience as everyone else, not an afterthought,“ shares their Crafty Client Operations Manager.

Scaling a Quality Workplace Experience Across Locations

Based at the company’s Chicago headquarters, the Lead Workplace Coordinator leads a small but mighty team that supports offices in New York, the Bay Area, and a growing network of satellite locations. Each site differs by headcount, budget, and employee expectations, yet the company wanted every location to feel connected to the same culture, a difficult task at scale.

For the company, the corporate pantry program became a tangible lever for consistency. Partnering with Crafty gave them a centralized way to deliver thoughtful, high‑quality workplace experiences across offices while retaining the ability to tailor each site.

“Crafty acts as my eyes and ears for the places I can’t be all the time,” says the Lead Workplace Coordinator.

Crafty’s multi-model approach:

  • Large hubs (Chicago): Full‑service pantry support with daily on‑site teams and a barista‑led café experience.
  • Smaller offices: Lighter‑touch pantry delivery and curated ordering to match headcount and budget.
  • Centralized platform: Product performance, cost‑per‑head tracking, and standardized service playbooks.

“We’re able to set different budgets and product selections based on headcount. For smaller offices, they don’t always have the same opportunities for social experiences that we do in Chicago. So we try to make it more tailored to them and make everyone feel special.”

With Crafty managing the day-to-day execution (from sourcing to stocking to service), the Lead Workplace Coordinator’s team doesn’t have to build separate programs for every office or juggle multiple vendors. Instead, they’re able to deliver a consistent and engaging office food and beverage experience that still feels personal and connected to the company’s culture.

Using Data to Optimize the Pantry Experience and Budget

As the program scaled, data became the backbone of decision‑making. The Crafty Platform gives the company real‑time pantry visibility into product performance, consumption trends, and cost‑per‑head across locations, so changes are driven by behavior, not guesswork.

With those insights, the team:

  • Prioritizes fast‑moving office pantry items and healthy office snacks
  • Adjusts office pantry restocking cadence and delivery schedules by shift
  • Reallocates budget to products people want most

This allows them to continuously refine the experience based on real behavior, not assumptions.

“We can look at fast movers versus slow movers…and reallocate the budget to what people want the most,” the Lead Workplace Coordinator says. The platform also cuts admin time: “I can get something done in five minutes instead of going back and forth in an email chain.”

Building a Workplace That Feels Human at Scale

Once a consistent, scalable program was established across sites, the focus shifted from logistics to experience using food and beverage as a tool to boost morale and connection. But with teams spread across cities and made up of people with different backgrounds and preferences, a one‑size‑fits‑all approach doesn’t work. Instead, the team focuses on creating moments that feel personal, relevant, and inclusive.

“Someone from the ERG committee might suggest something like Asian-inspired snacks or drinks, and we’ll work with Crafty to make it happen. It’s small things, but it shows people we’re thinking about them,” says the Lead Workplace Coordinator.

Crafty helped design recurring activations, from a full‑time on‑site café with friendly baristas to cultural programming and rotating pop‑ups, that:

  • Create connections across teams
  • Celebrate ERGs with culturally-specific snacks and holiday fare
  • Break up intense workdays
  • Signal company care and appreciation

“Morning barista moments spark real connection,” says the Lead Workplace Coordinator. “They turn the office into a social hub instead of a cluster of desks and headphones. Paired with surprise activations like music-focused and themed pop‑ups, every visit feels energizing and makes you want to be here.”

Programming ranges from small gestures (new office snack ideas, specialty drinks, treats) to intentional activations (Lab Week celebrations & themed cultural events). For example, baristas created a drink‑of‑the‑month for lab employees to recognize their contributions.

These moments create meaningful pauses, surface appreciation, and strengthen belonging. Crafty handles product curation, office pantry restocking, and on‑site execution so the Lead Workplace Coordinator’s team can focus on strategy while the workplace feels more human and engaging.

Creating Moments that Matter

From lab teams advancing cancer research to business leaders advancing the mission, the day‑to‑day reality carries emotional weight. That changes the role of the workplace: it must be a place to recharge, connect, and feel recognized.

“We try to make sure that people know the work they’re doing doesn’t go unappreciated,” shares the Lead Workplace Coordinator. “That intention shows up in both small moments and larger, intentional experiences.

During the company’s dedicated Lab Week, for example, the team creates a full-scale celebration for employees, complete with catered meals, dedicated spaces, and custom touches designed specifically for lab teams.

As the Lead Workplace Coordinator adds, “They get a whole week. We’ll book out spaces, bring in catering, and work with Crafty to curate snacks, decorate, and create special menu items for select teams so they know we see them. That ties back to our mission, too. We have quotes all over the walls here, ‘If you don’t care, nobody will’, and I think the company really carries that through in everything we do.”

An Easy Choice for Renewal

As the company grows through new offices and acquisitions, its workplace strategy depends on partners that can scale with it,  a reality that surfaced during a recent contract renewal. Rather than renew automatically, the company ran a formal RFP to fairly evaluate options and long‑term fit. What set Crafty apart was how they showed up during the RFP.

“Crafty throughout this entire process has been fantastic. As we were going through the RFP, they really showed us how much they value our business and the partnership,” the Lead Workplace Coordinator says.

For the Lead Workplace Coordinator’s team, the decision balanced vendor capabilities and risk.

“We already knew it was a positive experience with Crafty. We didn’t want to break that cycle by bringing someone new in and potentially having a negative experience. They showed us their value and that they can expand on what we already have and grow with us. That was huge.”

Beyond features, the day‑to‑day relationship mattered. Crafty operates like an embedded partner — consistent, local, and proactive, which has built trust and made renewal straightforward.

“It’s refreshing to have a vendor who feels more like part of the company family than someone who just comes in once in a while.”
